RefSpace Cookie Policy
1. What are cookies and similar technologies: cookies are small text files that are stored on your device (computer, smartphone, etc.) when you visit websites. By cookies in this policy, we also mean other similar technologies for storing or accessing information on the user’s device – e.g. Local Storage, pixel tags, web beacons and, in the case of a mobile application, analogous identifiers and SDK modules in the application. Cookies allow us to recognise your device on subsequent visits, to remember your preferences and to improve your use of the website.
2. Use of cookies in RefSpace: The RefSpace platform uses cookies and similar technologies both in the web service (on the website) and, to an appropriate extent, in the mobile application. Cookies can be set by us (own cookies) and by third parties with whom we cooperate (external cookies). We use these technologies for the following purposes:
- Necessary (technical) cookies: These are cookies that are necessary for the correct operation of the website and to provide the functionality you wish to use. They include, for example, cookies that enable you to log in and maintain your user session, remember the contents of your shopping basket when shopping, set your preferred language, or cookies used to ensure security (e.g. detecting abusive authentication). Without these cookies, the website cannot properly provide many services. By law, no consent is required for the use of essential cookies – we are relying here on our legitimate interest to ensure the functionality of the website (Article 6(1)(f) RODO).
- Functional (preference) cookies: These cookies enable us to remember your choices and preferences in order to make your use of RefSpace more personalised. For example, they allow the service to remember your region or page layout, to auto-complete certain information (such as your login details if you choose the “remember me” option), or to adapt the look and feel of the application to your individual settings. While these cookies improve your experience of the site, they are not essential to its operation. We use them with your consent – you can choose to activate them within our consent management tool.
- Analytical and performance cookies: These are cookies that collect information about how users use the website – which pages they visit, how much time they spend on them, which elements they click on. We use this data for statistical analysis and to improve RefSpace’s performance. Among other things, we use tools such as Google Analytics (with IP address anonymisation) to track website traffic and Firebase Analytics in the mobile app. The information collected by these cookies is aggregated and anonymous – we do not seek to establish your identity from them. For example, analytics cookies can show us which products are most viewed, whether marketing campaigns translate into traffic on the site. The use of analytics cookies is based on your consent. If you do not, these tools will not be activated and we will have limited knowledge of how you use our services.
- Advertising and marketing cookies: These cookies are used for marketing, including so-called behavioural advertising, i.e. tailored to your interests. Meta Pixel (Facebook Pixel) and similar solutions allow us and our advertising partners to track your online activity in order to create ad audiences, record the effectiveness of campaigns (e.g. whether a particular Facebook ad prompted you to visit RefSpace) and display personalised ads to you on other websites or applications. Marketing cookies can also limit the number of times you see a particular ad (so that you don’t see the same content over and over again) and measure the effectiveness of advertising activities. The data collected by these cookies (such as IP address, cookie ID, browser information, unique mobile device identifiers, and data about products or pages viewed) may be combined with other information about your online activities and used to profile advertisements based on your presumed interests. We only use advertising cookies with your consent. If you do not agree, we will not install these cookies on you and the advertisements presented to you will be less relevant (but may be more frequent, as we will not limit their number).
3. own and third-party cookies: RefSpace uses both cookies directly from RefSpace (placed by our domain) and external cookies from our partners. Own cookies include, for example, session cookies to maintain your login, cookies to save your preference settings on the website or cookies for A/B testing of functionality. Third party cookies include:
- Analytics: Google Analytics (domain: .google.com) – collects anonymised traffic statistics; HotJar (domain: .hotjar.com) – a tool for studying user interaction with the website (heatmaps, session recordings).
- Marketing: Meta/Facebook Pixel (domain: .facebook.com) – as described above, tracking conversions and creating audience groups; Google Ads (domain: .doubleclick.net) – for remarketing and measuring the effectiveness of Google ads; TikTok Pixel (domain: *.tiktok.com) – if you run campaigns on TikTok, it serves a similar purpose as Facebook Pixel.
- Functional: e.g. Intercom or other support chat (if available – cookies to maintain the chat session), social media services (if, for example, Facebook/Instagram “share” plug-ins are embedded – they may set their own cookies to allow integration with these services).
An up-to-date list of the cookies used (including their names, providers, purposes and storage times) is available in our consent management tool (visible as a banner or cookie settings panel on our website).
4. Consent management – cookie consent and withdrawal: On your first visit to the RefSpace website (and periodically, e.g. every 6-12 months or when there are significant changes), we display you a cookie banner informing you of the use of cookies and asking you to agree to certain categories (in addition to the necessary ones). You have the option to accept all non-essential cookies, reject them or selectively adjust which categories you agree to. You can also change your choice at any time – the Consent Management Platform (CMP) available on our website (e.g. the “Cookie Settings” button in the footer or the shield/privacy icon) serves this purpose. The CMP allows you to redisplay your consent settings and modify your cookie selection. The withdrawal of consent does not affect the legality of the previous processing, but will result in the discontinuation of the further operation of the cookie category in question.
If you use the RefSpace mobile app, requesting consent for tracking technologies may be part of the installation process or the first launch of the app (e.g. requesting consent for tracking activity in third-party apps and websites on iOS – so-called App Tracking Transparency). You can manage the permissions of the RefSpace app in the settings of your mobile device (e.g. by disabling the tracking permission, which will prevent in-app advertising tools).
Notwithstanding the above, you can also manage cookies through your browser settings. Popular browsers allow you to block cookies (either completely or selectively for selected pages) and to delete files already stored. Please note, however, that blocking all cookies (including essential cookies) may result in our website not working properly – for example, you may not be able to log in or use the shopping cart.
5. Changes to the cookie policy: The cookie policy may be updated by us if the technologies used, legal requirements or our practices change. We will inform users of significant changes through the service (e.g. a message or refresh of the consent banner). We encourage you to check the content of this document periodically.
